The Complete Veterinary Data Migration Guide: Move to e-Anima Ownership
Switching your Practice Management Software (PMS) shouldn't feel like a risk. At e-Anima, we specialize in helping clinics break free from the "subscription trap" by moving their data into a permanent, one-time purchase solution.
This guide outlines our white-glove migration process, ensuring your patient records, clinical histories, and billing data move safely to your new e-Anima environment.
Financial Tip: Before you start, see how much you’ll save over the next 5 years by switching from a monthly fee to our ownership model on our Comparison Page.
Step 1: Secure Your Migration Assistant
To begin the process, you need to add Migration Assistance to your account.
- New Users: You can select the "Migration Support" add-on directly in your cart while purchasing e-Anima.
- Existing Users: If you already own e-Anima and want to move old data now, simply visit the Products Page in your dashboard to purchase the migration service separately.
Step 2: Open a Migration Ticket
Once purchased, head to your e-Anima Dashboard.
- Navigate to the Support Page.
- Open a new ticket titled "Data Migration Request".
Pro Version Advantage: If you are using e-Anima Pro, your ticket is automatically flagged for Priority Support. Our team typically responds in under 30 minutes, with a guaranteed maximum wait time of 6 hours. This ensures your clinic's transition is handled with the urgency it deserves.
Step 3: Define Your Data Scope & Provide Consent
In the support ticket, our technicians will need specific details to map your legacy data correctly:
- Database Type: (e.g., SQL, CSV, or the name of your previous SaaS provider like IDEXX or ezyVet).
- Migration Scope: Select the data modules you wish to transfer:
- Patient & Client Records: All contact info, chip numbers, and breed data.
- Clinical Histories: Full SOAP notes, vaccination records, and surgery logs.
- Billing Logs: Historic invoices and payment records.
- Imaging Links: Associations for DICOM/X-ray files.
- Data Delivery: For SaaS companies, you will usually provide us with a Database Backup File or an export folder.
The "Consent for Connectivity" (Security Notice)
For your security, e-Anima is built with a "Zero-Trust" architecture. We cannot modify your local database without your explicit permission.
- Action Required: Go to the Application Settings in your e-Anima software.
- Grant Access: Locate the "Migration Consent" section and click the button to authorize the remote mapping process. We cannot proceed until this is toggled "ON." You can revoke this access the moment the migration is finished.
Step 4: Data Mapping & Automated Update
Our team will then map your old data to the e-Anima architecture. We don't just move data; we translate it so that your 10-year-old clinical notes look and feel native to your new modern dashboard.
- How it works: Once the mapping is finalized on our secure servers, we update your local database automatically over the internet.
- Continuous Improvement: We are constantly adding more options for database updates to ensure the process remains the fastest in the industry.
Step 5: Testing & "Go-Live"
After the update is pushed, you will perform a final check. We recommend looking up a few "complex" patients (those with long histories) to ensure every note and invoice has landed in the right place. Once you confirm, your clinic is officially live on e-Anima!
Important Considerations for a Smooth Migration
Database Size & Complex Mapping
Our standard migration service is designed to be comprehensive and fair.
- No Extra Charge: If your database is of standard size and the mapping can be completed within one business day, there are no additional fees.
- Custom Quotes: If your database is exceptionally large (hundreds of thousands of records) or requires extensive manual "cleaning" due to errors in your old software, we may provide a custom quote for the extra labor. We are always transparent about these costs before we begin.
